Privacy Policy for Solo Services Group & SIFS App

Last updated: 2025-10-27

Solo Services Group (“we”, “us”, or “our”) is committed to protecting and respecting your privacy.

We at Solo Services Group understand that your personal data is entrusted to us and appreciate the importance of protecting and respecting your privacy. To this end we comply fully with the data protection law and legislation in force in Australia and with all applicable clinical confidentiality guidelines.

This Privacy Policy sets out the basis on which we collect and process personal data about you including our practices regarding the collection, use, storage and disclosure of personal data that we collect from you and/or hold about you, and your rights in relation to that data.

Please read the following carefully to understand our practices. By providing your personal data to us or by using our services, website, SIFS mobile application, or other online platforms, you are accepting or consenting to the practices described in this Privacy Policy.

Information We Collect

We are the sole owners of the information collected through our services. We collect information in the following ways:

Information You Voluntarily Provide: We collect information that you voluntarily give us via our website, the SIFS App, email, or other direct contact from you. This may include your name, contact information, and any other details you provide when you get in touch with us.

Information Collected Through the SIFS Mobile App: To provide the full functionality of the SIFS App, we may request access to certain data or features on your mobile device.

  • Camera Capture: The App may request access to your device’s camera to allow you to capture images within the App (e.g., attaching a photo to a record). Access is requested on both iOS and Android (using permissions like android.permission.CAMERA). When you capture an image, a watermark containing the current location, date, and time is automatically embedded onto the photo for verification and record-keeping purposes. Images are used only to provide the in-app function you initiated.
  • Precise Location Data & Geolocation Tracking: The App collects and processes precise location data through your device’s GPS to enable core features. This functionality is used to track your real-time location for operational purposes. We use Google Maps Platform services to enable this feature.
  • File Storage Access (for Downloads): The App may request access to your device’s storage to download and save files, such as PDF certificates, directly to your device for your records. We do not use this permission to access or read any other personal files on your device.
  • Device Identifier: We collect a unique identifier from your mobile device (such as the Android Advertising ID or Apple’s IDFA/IDFV). This identifier helps us to ensure the integrity of time-tracking and attendance records and helps us verify that check-ins and task submissions are made by the authorized user at the correct site.
  • Usage Data: We may collect basic, non-identifying diagnostics (e.g., crash logs, performance data) to help us improve the App’s reliability and performance.

How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to you regarding the reason you contacted us.
  • To provide, operate, and maintain our services, including the website and SIFS App.
  • To enable core App features, such as photo capture, location tracking, and downloading PDF certificates.
  • To provide support, improve reliability, and monitor the performance of our services, including by using device identifiers for security and analytics.
  • To send you marketing information about our products and services, where you have consented.
  • To comply with legal obligations.

Sharing and Disclosure of Information

We do not sell your personal information. In the usual course of business, we may disclose your personal data (to the extent necessary) to certain third-party organisations that we use to support the delivery of our services. This may include:

  • Service Providers: Business partners, suppliers, and sub-contractors for the performance of any contract we enter into with you.
  • IT & Data Services: Organisations providing IT systems support, analytics, crash reporting, and data hosting.
  • Business Operations: Third-party debt collectors, delivery companies, and service providers for secure information storage and confidential destruction.
  • Marketing: Third-party marketing companies for the purpose of sending marketing communications, subject to your consent.

Where a third-party data processor is used, we ensure they operate under contractual restrictions regarding confidentiality and security, in addition to their obligations under Data Protection Laws.

We may also disclose your personal data to third parties if we sell or buy any business or assets, or where we are required by law to do so.
